For large conferences of 100 or more delegates, start four to eight weeks out. Smaller corporate events can be arranged within two to four weeks. During peak conference season, particularly the March to May and August to November windows, vehicle availability tightens, so early planning always pays off.
Yes. Every conference delegate airport transfer includes a professional meet-and-greet: a suited chauffeur waiting in the arrivals hall with name signage, luggage assistance, and a direct escort to the vehicle. For VIP and speaker transfers this is standard. For general delegate arrivals it is available on request and strongly recommended for delegates unfamiliar with the city.
We monitor all incoming flights in real time. If a delegate's flight is delayed, diverted, or arrives early, we adjust the driver's positioning automatically. You do not need to call us to report a delay. We are already tracking it.
A transfer manifest is the master operational document listing every delegate movement across the conference: pickup times, delegate names, flight numbers, vehicle assignments, and drop locations. For programmes of any meaningful scale, we build and manage this document in collaboration with your event manager or EA. It becomes the reference point for all driver briefings and on-the-day operations.
Yes. We tier vehicles and service levels to match delegate type. Keynote speakers and executives travel in dedicated executive sedans with as-directed flexibility. General delegates travel in shared vehicles on fixed shuttle routes. Both streams are managed under the same account and appear on a single invoice.
Fixed pricing applies across all conference transfer services. You will receive a confirmed quote before any transfer is booked. There are no surge charges, no dynamic pricing adjustments on busy conference days, and no fuel levies added to your invoice after the fact.
Your driver monitors the flight and adjusts. We contact you as soon as the delay is confirmed and provide an updated ETA. The driver waits for the delegate. There is no re-booking required and no additional charge for the extended wait within a reasonable window.
Yes. Interstate conferences drawing delegates from multiple capital cities are among our most common programmes. We coordinate airport arrivals in Sydney, Melbourne, Brisbane, Perth, and Adelaide simultaneously, with all movements managed through a single point of contact and consolidated onto one account.
